Will I use the Purchasing or Reimbursement form to pay individuals or an organization?
Yes, you will use the Purchasing or Reimbursement form any time an individual or organization requires a payment. Please refer to the Payment to Others FAQ list for details. This also includes requesting electronic gift cards for individuals. Please refer to the Gift Card FAQ list for details.
Can the FAST Office purchase gift cards or do I need to purchase it and submit reimbursement?
The FAST Office can purchase electronic Visa or Amazon gift cards as tokens of appreciation. Tokens of appreciation are appropriate for someone guest lecturing or participating in an event.
Gift cards intended for IRB research related compensation must be purchased via HSIP.
What forms are required for a gift card?
A gift card acknowledgement form must be submitted with your request submitted via the online Purchasing or Reimbursement form. Gift cards cannot be purchased without the acknowledgement form filled out.
What are the limits for Gift Cards?
The University limits the use of gift cards to tokens of appreciation. The limit for a token of appreciation is $25.

Can the FAST Office or myself pay someone with a physical gift card?
The FAST Office can not purchase or distribute physical cards. If you feel a physical gift card would be necessary, you may purchase the card and submit a request for reimbursement. You will still need to have recipients fill out the gift card acknowledgement form.
Who can I pay with Gift Cards?
Electronic gift cards can be purchased for individuals as a token of appreciation. They are not intended to be used for honorarium.
A token of appreciation is a thank you to an individual for things such as someone attending or participating in an event, working outside their job, or going above and beyond. It is not intended as a compensation for their time.
An honorarium is defined by the University as an acknowledgement for a professional's time that is rendered nominally without charge.
Gift cards can not be used as a form of payment for services provided or as a reimbursement. HSIP can assist paying individuals who participated in research studies.
Should we contact the FAST Office for purchasing gift cards for research?
Any gift cards intended for participation in research needs to go through the HSIP Office.
What type of gift cards are there?
The FAST Office can purchase electronic gift cards from Visa or Amazon to be sent via email to the recipient.
Are there fees for giving Gift Cards?
There is an additional $5.95 processing fee (billable to your shortcode) for each electronic Visa gift card purchased. There is no additional fee for electronic Amazon gift cards.

Once you have collected all of your needed documentation, you may fill out the Purchasing or Reimbursement form.
